Envelope review documentation process

Every envelope that enters our register follows the same documented path — from first photograph to annual re-inspection. We never open envelopes. Our work is limited to the exterior: seals, weight, dimensions, and custody history.

Typical timeline

Intake: 90 min · First review: 11–13 months · Annual cycle thereafter

Six stages of review

1. Pre-intake consultation

By phone or email, we confirm envelope count, seal types, and whether any envelopes have been previously opened. You receive a preparation checklist and appointment confirmation.

2. Exterior documentation

At intake, each envelope is photographed from four angles under consistent lighting. We record seal serial numbers, envelope dimensions to the millimetre, and weight on a calibrated scale.

3. Bound register entry

A numbered page is added to your family's volume in our archival ledger. The entry includes your reference code, intake date, reviewer initials, and storage location as declared by you.

4. Storage confirmation

We log where you intend to keep each envelope — home safe, deposit box number, or delegated holder. If custody changes before the first review, contact us to update the register.

5. Annual integrity inspection

At review, we compare current seal appearance and weight against intake records. Any discrepancy — lifted tape, colour change, weight drift — is noted in the ledger and flagged in your summary letter.

6. Review summary & next date

You receive a one-page letter stating seal status for each envelope, reviewer observations, and the scheduled date for the following year's inspection.

What we examine

  • Tamper-evident tape continuity and serial alignment
  • Wax or sticker seal impressions and edge lifting
  • Envelope corner integrity and moisture staining
  • Weight variance beyond ±0.5 grams from intake
  • Label consistency with register description
